1. About this policy
This website is published by IdeaWeb Technologies Limited, a charitable organisation registered in New Zealand under registration number CC61994. In this policy, “we”, “us” and “our” mean IdeaWeb Technologies Limited.
We are a not-for-profit publisher. We collect personal information in order to publish The Newsly Times and to carry out our charitable purposes — not to build a commercial profile of you.
This policy explains what personal information we collect, why we collect it, what we do with it, and the rights you have under the Privacy Act 2020. It applies to this website and to our related services. It does not apply to other websites we link to.
2. Information we collect
Information you give us
- Your name, email address, phone number and message when you contact us, write to the editor, or send us a news tip.
- Information you submit for publication — obituary notices, matrimonial listings, job advertisements, event notices, photographs and similar material.
- Your email address if you subscribe to a newsletter or alerts.
- Your name, contact details and payment details if you make a donation or buy advertising. Card payments are processed by our payment provider; we do not store full card numbers.
- Entries to competitions, surveys or reader feedback.
Information collected automatically
- Your IP address, approximate location derived from it, device type, operating system and browser.
- Pages you visit, articles you read, how long you stay, and the site or search that referred you.
- Your language preference, so that we can show you the English or Malayalam edition.
- Information recorded by cookies and similar technologies — see section 5.
Information from others
- Analytics and advertising providers, who report on how the site is used in aggregate.
- Social media platforms, if you interact with our accounts or share our content.
- Information provided by third parties in the course of our news gathering, such as sources, media releases and public records.
3. Why we collect it
We use personal information to:
- publish the notices, listings and letters you send us for publication;
- respond to your enquiries, tips and complaints;
- operate, maintain and improve the website and our broadcast services;
- understand which stories our readers value, so that we can serve our communities better;
- send newsletters or alerts you have asked for;
- sell and serve advertising, which helps fund our charitable activity;
- receipt donations and meet our reporting obligations as a registered charity;
- protect the security of the site and prevent misuse; and
- meet our legal obligations.
We do not sell your personal information.
4. Material you submit for publication
We may edit submissions for length, accuracy, style and legal reasons, and we may decline to publish. Contact details you give us so that we can verify a submission are not published unless you ask us to publish them.
5. Cookies and similar technologies
Cookies are small files stored on your device. We use:
- Necessary cookies, which make the site work — for example remembering whether you are reading the English or Malayalam edition.
- Analytics cookies, which tell us in aggregate how the site is used.
- Advertising cookies, set by our advertising providers, which may be used to limit how often you see the same advertisement and to measure whether advertising is working.

6. Analytics, advertising and embedded video
We use Google Analytics and other tools to measure site use and to serve advertising. These providers may set their own cookies and collect information about your device and browsing. Their handling of that information is governed by their own privacy policies, which you can read at policies.google.com/technologies/partner-sites
We do not permit advertisers to see your identity. We may tell an advertiser how many people saw their advertisement and on which sections of the site. Google Privacy Policy — policies.google.com/privacy
Embedded video and audio
Some of our articles contain video or audio hosted on YouTube and embedded in the page. When a page containing an embedded player loads, YouTube may set cookies on your device and receive information about your device and the page you are viewing, whether or not you press play. If you are signed in to a Google account, Google may associate that activity with your account.
Where the option is available we use YouTube’s privacy-enhanced embed mode, which limits what is stored unless you choose to play something. Your use of the player is governed by Google’s privacy policy, at policies.google.com/privacy. We do not receive your identity from YouTube; we see only how many people played a video and for how long.
7. Who we share information with
We share personal information only where it is necessary, and only with:
- service providers who host the website, send our email, process donations, or provide analytics and advertising, and who are required to protect the information and use it only for the purpose we engaged them for;
- our professional advisers, such as auditors and lawyers, where required;
- a person or organisation you have asked us to share it with; and
- anyone we are required or authorised to share it with by law, including a court order, or where disclosure is necessary to prevent a serious threat to someone’s life, health or safety.
8. Storage outside New Zealand
Some of our service providers store information on servers outside New Zealand, including in [Australia / the United States / Singapore]. Where we disclose personal information to an overseas provider, we take reasonable steps to satisfy ourselves that it is subject to comparable safeguards to those in the Privacy Act 2020.
9. Keeping information safe, and how long we keep it
We take reasonable steps to protect personal information against loss, misuse and unauthorised access, including access controls on our systems and encryption of the site. No online service can be completely secure, and we cannot guarantee the security of information you send us over the internet.
We keep personal information only as long as we need it for the purpose we collected it, or as long as the law requires. Published material, including published notices and articles, is kept in our archive indefinitely as part of the public record — see our Corrections Policy for the limited circumstances in which we will remove published material.
10. Your right to see and correct your information
Under the Privacy Act 2020 you have the right to ask for the personal information we hold about you, and to ask us to correct it if it is wrong. To make a request, contact our Privacy Officer using the details in section 14. We may need to confirm your identity before we can respond. We will respond as soon as we reasonably can, and no later than 20 working days after we receive your request.
There is normally no charge. If a request requires substantial work, we may charge a reasonable fee and will tell you before proceeding. In limited circumstances the Act allows us to decline a request; if we do, we will tell you why and how you can complain.
If we do not agree to correct information, you may ask us to attach a statement of the correction you sought, and we will do so.
11. Our news activities
The Privacy Act 2020 does not apply to a news medium in relation to its news activities. That exclusion exists so that journalism can be carried out independently. We do not rely on it to avoid accountability: we apply the standards in this policy to our news gathering as a matter of practice, and our journalism is governed by our Editorial Policy and our Corrections Policy, and by the complaints process set out in those documents.
12. Children and young people
This site is intended for a general audience. We do not knowingly collect personal information from children under 16 without the involvement of a parent or guardian. If you believe a child has given us personal information, please contact us and we will remove it.
13. Privacy breaches and complaints
If a privacy breach occurs that has caused, or is likely to cause, serious harm, we will notify the affected people and the Office of the Privacy Commissioner as required by the Privacy Act 2020.
If you are concerned about how we have handled your personal information, please contact our Privacy Officer first. We will acknowledge your complaint within [2] working days and aim to resolve it within [20] working days.
